Responding to Meta leads within five minutes: a speed-to-lead playbook

Someone who fills in your form is interested right now; a few hours later they may have moved on. A practical guide to making fast follow-up on ad leads systematic rather than heroic.

Facebook and Instagram lead forms have become one of the main sources of enquiries for agencies and developers. A form takes seconds to complete, and that convenience cuts both ways: the person who filled in yours may have filled in two competitors' forms in the same few minutes. Whoever calls first gets to start the conversation.

Speed-to-lead is the principle of reaching a new enquiry as quickly as possible. It rests on something sales teams have known for a long time: interest peaks at the moment an enquiry is made and fades quickly afterwards. This playbook turns that principle into a process an agency can actually run.

Why the first minutes matter

At the moment someone submits a form, they are holding their phone, they've just seen the listing and they have a specific question in mind. An hour later they are in a meeting; by the evening they may have asked another agency the same question. Call the next day and it's no surprise they don't remember you. A call in the first few minutes meets interest while it is still fresh.

Ad spend brings in the lead. What turns a lead into a client is the speed and quality of the first contact.

The real obstacles to speed

  • Leads land in an inbox or a list inside the ads dashboard, and nobody gets an instant alert.
  • Agents are out on viewings or valuations; call-backs slip to the evening.
  • Ownership is unclear; everyone assumes someone else has called.
  • Forms submitted at night or at the weekend wait until Monday morning.

The problem is rarely unwillingness. It is a missing process. Fast follow-up needs to depend on a system, not on individuals.

Step 1: Get every lead into one place, instantly

Step 2: Automate the first touch

A note on compliance: marketing calls and messages are regulated in most markets. In the UK and EU that means GDPR and local e-privacy rules; in Turkey, an İYS consent record and a KVKK privacy notice are required. Make sure your lead form collects the right consent, and only call within agreed hours. Speed should never come at the expense of compliance.

Step 3: Keep qualification short

Limit the first conversation to three or four questions. The aim is not an interrogation, it's choosing the right next step.

  • Which development or listing are you interested in?
  • Is this to live in or as an investment?
  • What's your budget range, and how are you financing it?
  • When are you looking to move or make a decision?

Step 4: End the call with an appointment

The goal of first contact isn't to share information; it's to book something: a sales-suite visit, a show-home viewing or an online presentation. The assistant offers open slots from your calendar in plain language (“tomorrow at 3pm, or Saturday at 11?”) and books it. An automatic WhatsApp confirmation follows, and a reminder goes out before the appointment.

Step 5: Write the rule for unreached leads

Not every lead picks up first time. Decide in advance what happens next: how many attempts, at what intervals and times of day, which message goes out in between, and after how many attempts the lead moves to a long-term nurture list. If the rule isn't written down, unreached leads quietly disappear.

  • Time from form submission to first contact
  • Share of leads reached on the first attempt
  • Lead-to-appointment and appointment-to-viewing conversion
  • Cost per appointment by campaign

Track these four indicators for a few weeks and you will see which ads genuinely create business and which only generate form fills. Speed-to-lead isn't a campaign trick. It is the most basic way to protect your advertising budget.
