The problem

Lettings means lots of calls, thin fees and little time

A good rental is gone within days. Keeping up with every call in those few days is close to impossible.

01

Dozens of calls for one flat

Every applicant asks the same things: furnished? Service charge included? When is it free? Your agent spends the day on the phone.

02

Viewings with unsuitable applicants

Pet owners, budgets that don't fit or applicants who don't meet the landlord's terms all lead to wasted viewings.

03

The phone keeps ringing after it's let

People who call after the listing comes down never hear back, even though you have similar flats in stock.

Who calls

Four profiles who ring your lettings line

Tenants and landlords call with different needs; the agent tells them apart.

Student

Students and tenants with a guarantor

Ask about distance to campus, furnishing and sharing. The agent notes the guarantor situation and move-in date.

Relocation

Employees relocating for work

Calling from another city, keen to decide without visiting. The agent sends the link and photos on WhatsApp and arranges a video or in-person viewing.

Family

Families moving before the school year

Bedrooms, schools and complex facilities matter. The agent filters family-friendly flats from your stock.

Landlord

Owners who want to let their flat

No figure for "how much can I get?"; a visit from your agent is offered for an accurate rent and a management conversation is booked.

Top questions

Tenant questions answered against the listing's terms

During setup each rental's rent, deposit, service charge, furnishing, availability date and the landlord's terms (pets, students, guarantor) are loaded into the agent. It politely tells applicants who don't fit and suggests other options from your stock.

  • "Is it furnished, are appliances included, is the service charge in the rent?"
  • "How many months' deposit, when is it available?"
  • "I have a cat, is that OK? Do you let to students?"
  • "How will rent increases work?" goes to your agent for the contract.

Pipeline

A lettings pipeline: many applicants, quick decisions

The agent opens each applicant as an opportunity on the relevant listing. Viewings fill the time slots your agent sets; applicants waiting on landlord approval sit in their own stage. Once the flat is let, the remaining applicants get an automatic WhatsApp about similar listings.

  • New applicant → Meets terms → Viewing booked
  • Viewing done → Landlord approval → Tenancy agreement → Keys handed over
  • Similar listing alerts for applicants once it's let

Sample call

A tenant with a cat is steered to a suitable flat

  • Agent

Hello, thanks for calling Kent Estates. I'm Selin, the office assistant. Which rental are you calling about?

  • Caller

The furnished one-bed in Bornova. I have a cat, is that a problem?

  • Agent

The landlord doesn't accept pets in that flat, so I wanted to say so up front. We do have a pet-friendly furnished one-bed in the same area at 17,000 lira a month including service charge. When are you looking to move?

  • Caller

I need to be out by the end of the month. Could I see that one?

  • Agent

I'm booking a viewing for Thursday at 18:30 and sending the link and location on WhatsApp. Just so you know, it's two months' deposit and a guarantor is required.

  • Caller

    Great, see you Thursday.

Rental listings FAQ

How does the agent learn each landlord's terms?

During setup each listing's terms (pets, students, guarantor, deposit, availability) are written into the listing record. When terms change the listing is updated and the agent works from the new details.

What if someone asks about rent increases or contract clauses?

It doesn't give legal interpretations. It shares the listing details, says your agent will explain increases and contract terms, and can transfer the call if needed.

Lots of applicants call for one flat. Won't viewings clash?

The agent checks availability in your calendar. If your agent opens block viewing slots, applicants are placed into them in turn.

Does it handle landlord calls too?

Yes. It recognises owners who want to let, takes the property details, offers a visit from your agent for an accurate rent and records it as a separate opportunity.

What happens to callers once the flat is let?

The agent tells them it's gone, asks what they need and suggests similar listings. The enquiry stays in the CRM and an automation can notify them when something new comes in.
